How does MyCivitas work?: MyCivitas begins by providing a comprehensive map of your community, highlighting its assets and infrastructure. Users can capture and document essential information about the physical components within the community. With the gathered data, prioritise your community assets based on their significance and needs. MyCivitas allows you to assess and categorise assets for better management and decision-making. MyCivitas aids in capital planning by offering insights into the condition and importance of various community assets. This information supports strategic planning and budget allocation for effective infrastructure development. Streamline maintenance and improvement processes by setting up work orders within MyCivitas. Capture your infrastructure: Create a detailed asset inventory by leveraging powerful mapping software. Our data capture system utilises QGIS, a free and open-source desktop application, making it user-friendly and accessible.

Scope of project

Civitas was created as a way to present the captured data on a user-friendly platform, allow staff to query/analyze/understand said data, and perform various asset management-related calculations to assist in capital planning.

Scope

LandInfo developed a three-step methodology to support smaller communities in the development of their asset management plans:

Step 1: Asset Register: The first step is creating an asset register. Assets are divided into classes including water supply, wastewater collection, stormwater collection, transportation, facilities, fleet and natural assets.

Assets are recorded from existing electronic data, hard-copy maps and reports. The remaining unknown assets are recorded through field surveys using Mergin Maps, an open-source mobile application. Civitas Asset Management, an open-source GIS-based application is used to capture the data in a predefined data model.

Once the data is captured, Civitas is used to generate reports on the condition, life expectancy, replacement cost, etc. of assets. The goal is to answer the following asset management questions:

  • What do we own?

  • Where is it?

  • What is the condition?

  • What is the remaining life?

Step 2: Asset Prioritization: The second phase is prioritizing assets based on risk. This phase is intended to identify the Village’s critical assets. The probability of failure and consequence of failure values are collected for all assets. Staff knowledge is vital for this phase to be successful. Deliverables at the completion of Phase 2 are:

  • Prioritized asset registry.

  • Risk-based state of infrastructure reports breaking down the asset register by risk level.

Step 3: Capital and Operational Strategies: The third phase is integrating the asset management data from Phase 1 and Phase 2 into the Village’s current planning procedures.

MyCivitas web application is available for staff, aiding in asset management and planning decisions.
